Accounts Assistant, Liffey Valley

We are seeking a meticulous and dedicated Accounts Assistant to join our team. As an Accounts Assistant, you will play a crucial role in maintaining accurate financial records, supporting the finance team, and ensuring compliance with company policies and procedures. This position offers an excellent opportunity for someone with a keen eye for detail and a passion for accounting to develop their skills within the automotive industry.


Responsibilities:

  1. Assist in maintaining accurate financial records, including accounts payable, accounts receivable, and general ledger entries.
  2. Process invoices, expense reports, and other financial documents in a timely and accurate manner.
  3. Reconcile bank statements and credit card transactions to ensure accuracy and completeness.
  4. Collaborate with other departments to resolve financial discrepancies and ensure proper documentation and authorisation of transactions.
  5. Provide administrative support to the finance team.
  6. Maintain confidentiality of financial information and adhere to all company policies and procedures.
  7. Reconciling & allocation of direct debits and incoming payments through the bank
  8. Posting daily bank card transactions
  9. Circulate weekly working capital schedules
  10. Support the accounts payable / receivable functions
  11. Ad hoc duties as required by the business

 

Requirements:

  1. Bachelor's degree in Accounting, Finance, or related field preferred, however not essential.
  2. Previous experience in accounting or finance role preferred.
  3. Proficiency in Microsoft Office Suite, particularly Excel and Word.
  4. Familiarity with accounting software systems.
  5. Strong analytical and problem-solving skills.
  6. Excellent attention to detail and accuracy.
  7. Ability to work effectively in a fast-paced environment and meet deadlines.
  8. Strong communication and interpersonal skills.
  9. Ability to maintain confidentiality of sensitive information.
  10. A passion for the automotive industry and willingness to learn.

Sales Administrator, Liffey Valley

As a Frank Keane Sales Administrator you will provide exceptional administrative support to our sales team by assisting with invoicing and taxing vehicles, file auditing, new car ordering, trade transfers and other ad-hoc duties. In this role, you will work closely with the Sales and Accounts departments and many members of the management team.

Reporting to the General Manager and Administration Coordinator. 

Key responsibilities and experience:

  • Previous experience in an administrative role with proficient IT skills is required.
  • Automotive administration experience is advantageous.
  • An individual who is committed to providing excellent customer service and thrive in a busy, high pressurised environment.
  • Extremely proactive, organised, confident, have great attention to detail and be willing to go that extra mile.
  • Champion the use of our paperless sales process.
  • Completing all administration paperwork for vehicle sales and purchases.

  • Registering sold vehicles to regulated standards and managing VRT needs.
  • Providing statistical and department related information to the management team and manufacturer.
  • Liaising with the sales team regularly to ensure the department runs smoothly.
  • Maintaining thorough product knowledge and updating your knowledge through manufacturer led training and product bulletins.
  • Maintaining good housekeeping standards and orderly administration of your work.

Experienced Service Advisor, Sandyford

As a Service Advisor you will be responsible for providing excellent customer service and managing the servicing and maintenance needs of our customers. You will act as a liaison between our customers and the service department to ensure a smooth and efficient service process.

Key Responsibilities:

  • Customer Interaction: Greet and assist customers, understand their service needs and provide recommendations based on the manufacturer's guidelines and the vehicle's condition.
  • Service Recommendations: Communicate vehicle issues and service recommendations to customers, including required repairs, preventive maintenance, and suggested services.
  • Service Scheduling: Schedule service appointments and manage loan vehicles, if necessary, to accommodate customer needs and dealership capacity.
  • Service Estimates: Provide customers with accurate and transparent cost estimates for service and repairs, including parts, labour, and potential additional charges.
  • Vehicle Inspection: Conduct vehicle inspections and document the condition of the customer's vehicle. Share findings with customers and prioritise necessary repairs and maintenance.
  • Communication: Keep customers informed of the progress of their service or repair work, including any unexpected delays or additional repairs required.
  • Parts Ordering: Order necessary parts and materials to ensure timely completion of service or repair jobs.
  • Quality Assurance: Ensure that all service and repair work is performed to Volkswagen's quality and safety standards.
  • Billing and Invoicing: Prepare and explain invoices to customers, collecting payments, and handling any warranty claims or issues.
  • Customer Satisfaction: Ensure a high level of customer satisfaction by addressing any concerns or complaints promptly and professionally.
  • Documentation: Maintain accurate and organised service records, including customer information, vehicle details, service history, and repair orders.
  • Sales Opportunities: Identify potential upsell opportunities for service packages, extended warranties, and accessories.


Qualifications:

  • Previous experience in a Service Advisor role is desirable.
  • CDK / Keyloop (Kerridge) experience is advantageous.
  • Strong communication and interpersonal skills.
  • Proficiency with computer software and service management systems.
  • Ability to work in a fast-paced, team-oriented environment.
  • Excellent problem-solving and organisational skills.
  • Must possess a valid driver's licence

Showroom Host/Receptionist - Sandyford

Frank Keane Volkswagen Sandyford are now inviting applications for a customer-centric Showroom Host with an immediate start. We are conveniently located in Sandyford Business Park and have a state-of-the-art showroom with the highest specification fit-out for our staff and customers.

As a Host, you will have excellent interpersonal skills as you will be responsible for meeting and greeting all customers. You will manage various customers at any one time and ensure each customer has a positive and enjoyable experience.

This role would be ideal for someone with a strong Customer Service background who enjoys giving exceptional experiences on a consistent basis.
